Food & Beverage Manufacturing

Run the trace exercise as a query, not as four hours of pulling production sheets out of a binder.

Overview

Food manufacturing software earns its keep on the day something goes wrong. A GFSI scheme audit expects a full forward and backward trace, with mass balance, inside four hours. The FDA's Food Traceability Rule goes further for anything on the Food Traceability List: key data elements captured at every critical tracking event, receiving, transformation, creation and shipping, and the whole set produced as a sortable electronic spreadsheet within twenty-four hours of a request. WorkCell holds that data because the plant ran on it. Receipts carry their lot, their supplier, and their inspection disposition; every issue to a production order keeps the lot link; completions assign the finished lot code that goes on the case. The same database schedules the plant against real capacity, so an allergen changeover or a held ingredient reshuffles the plan instead of eating a delivery.

Co-packers and contract manufacturers, specialty and private-label food and beverage producers, ingredient and blend houses, and bakeries, snack, sauce, and beverage plants running lot-coded batch and packaging work.

Standards You Are Audited AgainstAll Standards
StandardWhat It Requires
FSMAPreventive controls under 21 CFR Part 117 require a written food safety plan with hazard analysis, process, allergen, sanitation and supply-chain controls, and monitoring, corrective action and verification records for all of them, not only for process critical control points. The Food Traceability Rule adds key data elements at each critical tracking event, retrievable as a sortable electronic spreadsheet within twenty-four hours; FDA extended the compliance date to 20 July 2028.
GMPCurrent good manufacturing practice for food under 21 CFR Part 117 Subpart B covers personnel, plant and grounds, sanitary operations, equipment, and process and controls, with the records to show each one was actually performed.
ISO 9001The general quality management foundation behind FSSC 22000 and the other GFSI-recognised schemes: corrective action, internal audit, management review, and control of nonconforming product.
REACHApplies to the packaging, food-contact materials, and processing and sanitation chemicals a plant buys when product goes into the EU, which means holding supplier substance declarations against the purchased item.
TraceabilityIngredient lot through finished lot code and pallet, with mass balance per production run

Every receipt carries its own lot, its supplier, the date received, and its inspection disposition, and anything awaiting a COA or a micro result sits in a hold state the system enforces rather than on a tag taped to a tote. Issues to a production order keep the lot link, and completion assigns the finished lot code that goes on the case and the pallet. Backward trace runs from a finished lot code to every ingredient, packaging, and label lot inside it, with the operator and the line that ran it. Forward trace runs from a suspect ingredient lot to every production run, every finished lot, and every customer shipment it reached. That is the same pair of questions a mock recall, a GFSI trace exercise, and an FDA request all ask, and answering them stops depending on how fast somebody can read production sheets.

Documents You Have To Produce
Trace exercise and mock recall report

Forward and backward trace with mass balance from one lot code, produced as a query rather than reconstructed from production sheets against a four-hour clock.

Critical tracking event records

The receiving, transformation, creation, and shipping data FSMA 204 asks for, held as transactions against the lot rather than typed into a separate traceability workbook.

Monitoring and verification records

Checks captured at the operation against the characteristic and the limit they were checked to, with the corrective action taken when a reading went out of spec.

Certificate of analysis and conformance

Supplier COAs stored against the receiving lot so they follow the ingredient into every run it feeds, and outbound certificates generated from the run record.

Nonconformance and corrective action record

Severity-classified nonconformances with disposition and containment, escalated into an 8-D corrective action when the cause is systemic rather than a single bad lot.

What Gets In The Way
The trace exercise is a four-hour fire drill once a year

The lot codes are on production sheets, the receiving data is in the ERP, the shipment data is in a different report, and the trace itself is a spreadsheet somebody rebuilds from scratch. It passes the audit because people worked fast, which tells you nothing about how it would go at two in the morning during a real recall.

FSMA 204 is being answered with a parallel workbook

The rule wants key data elements at every critical tracking event, exportable as a sortable spreadsheet within twenty-four hours. A plant whose ERP cannot hold lot-level links ends up keying the same events a second time into a traceability workbook, which doubles the data entry and guarantees the two disagree.

Allergen control depends on people remembering the sequence

The changeover order, the cleaning verification, and the label check are in the food safety plan and in the line lead's head. Nothing in the system stops an allergen-containing lot from being issued to a run that is not labelled for it, so the control is procedural and it fails on the shift that is behind.

Hold and release is a tag, not a state

Ingredients waiting on a COA or a micro result are marked with a sticker on the pallet. The control exists by convention, and the one time it fails it fails on material that should never have left the hold cage.

Short shelf life makes a static schedule a guess

A spreadsheet plan assumes the ingredient arrives in date, the line is free, and the changeover takes an hour. Without finite capacity scheduling, one late delivery or one extra sanitation cycle quietly pushes a dated order, and a short-shelf-life product that ships late is a product that gets rejected.

What WorkCell Does
01

Lot genealogy from ingredient to finished case

Receiving records the lot and its supplier, issues to a production order preserve the link, and completion assigns the finished lot code. Forward and backward trace both resolve from one identifier, with mass balance falling out of the same transactions.

02

Trace exercise as a query

The data a mock recall needs is the data the plant ran on, so a trace is a lookup rather than a reconstruction. The four-hour expectation a GFSI scheme sets stops being the constraint, and running the exercise more than once a year stops being expensive.

03

Enforced hold and release states

Material awaiting incoming inspection, a COA, or a micro result sits in a hold state the system respects, so it cannot be issued to a run because the line was waiting. The disposition is a state in the data, not a sticker on a pallet.

04

AQL sampling plans and inspection templates

Sampling plans and templates define what gets checked at receiving, in process, and at finish, and results are recorded against the characteristic and the limit rather than summarised as a pass. The monitoring record exists because the check was recorded, not because somebody wrote it up later.

05

Nonconformance and 8-D corrective action in one loop

A failed check raises a severity-classified nonconformance against the run, the lot, and the item that caused it, and a systemic cause escalates into an 8-D corrective action, with the whole chain attached to the production record it came from.

06

Finite scheduling around changeover and shelf life

The scheduler plans against real line and labour capacity instead of pretending capacity is infinite, and proposal runs let a planner test a sequence before committing it. When an ingredient lands late, you see which dated orders move before you promise anything.

FAQ

What is food and beverage manufacturing software?

Food and beverage manufacturing software runs purchasing, inventory, production, scheduling, quality, and shipping on one database, holding lot genealogy from ingredient receipt to finished case. The difference from general ERP is that the lot trace and the monitoring records are first-class, so a recall question is a query.

Can WorkCell complete a trace exercise in under four hours?

A trace in WorkCell is a lookup, not a reconstruction, because the lot links were written by receiving, issuing, and shipping as they happened. Forward and backward trace with mass balance resolve from one lot code, which is why the four-hour window GFSI schemes expect stops being the constraint.

Does WorkCell make us FSMA 204 compliant?

No software makes you compliant; the rule covers your traceability plan and your trading partner data as well as your records. WorkCell holds lot-level receiving, transformation, and shipping transactions, which is the data the key data elements describe, and a REST API and exports get it out. FDA's compliance date is now 20 July 2028.

Is a preventive control the same as a critical control point?

No, and that trips up plants moving from a HACCP plan to a FSMA food safety plan. A HACCP plan identifies process CCPs; a food safety plan also requires allergen, sanitation, and supply-chain controls, each with monitoring, corrective action, and verification records. WorkCell records checks against any characteristic you define, not only process CCPs.

How does WorkCell help with allergen control?

Lot genealogy shows exactly which runs an allergen-containing ingredient lot reached, and hold states keep material out of a run until it is released. The sequencing rules, cleaning validation, and label approvals in your allergen programme stay yours; WorkCell holds the records that show the controls were performed.

Does WorkCell handle cold chain and expiration dates?

Lots carry expiration and production dates through receiving, issuing, and shipment, so a short-dated ingredient is visible before it is issued and finished lot codes carry their own dates. Continuous temperature logging from sensors on a cooler or a trailer is not something WorkCell does today.
